Terms and Conditions of booking

1. In these terms and conditions the exhibitor includes all employees / agents of such. The term exhibitions shall be deemed to mean the wedding exhibition named on the booking form. The term organisers shall be deemed to mean Best Brides Wedding Exhibitions.
2. Applications for exhibition space will be allocated in order of receipt and wherever possible in accordance with the exhibitors choice and preference, however Organisers reserve the right to re assign space allocated.
3. The Organisers reserve the right to except or refuse any allocation with out assigning any reason.
4. Cancellation from exhibitors will only be accepted in writing. Any cancellations received with 6 weeks of the exhibition date will not be entitled to a refund and full payment will be due.
5. Full balance is required 4 weeks prior to the event. Should payment not be paid then the stand may be resold with no deposits refunded If the stand is not re-let then full balance will still be due . A booking without a deposit will not have a reservation made.
6. Where space has been booked and paid for but is not occupied by the exhibitor by commencement of the show, the organisers reserve the right to re allocate or deal with this space, as they see fit. Exhibitors may not sub-let in respect of the whole or any part of the space allocated to them without the express permission of the organisers.
7. As venues are licensed premises exhibitors may not consumer or serve alcoholic goods unless by prior agreement with the organisers.
8. In the unlikely event that for any reason whatsoever the organisers have to cancel, all exhibitors will have their booking fee returned in full. Exhibitors will not be entitled to any compensation.
9. Please note that due to health and safety requirements persons under 18 will not be permitted on any stand and the organisers advise that suitable childcare arrangements are made. Under 18s are not permitted to enter the exhibitor room at any time, unless express written permission is obtained from the event organisers.
10. Exhibitors requiring electric, as per booking requirements must supply their own extension leads. These along with any other electrical equipment used on the stand, must have appropriate PAT certification and taping must be provided to cover loss cables, if necessary.
11. Wedding car exhibitors will be given allocated car space which has been agreed in advance with the venue management and no deviation of this positing can be allowed.
12. In no event shall the Exhibitor have any claim for damages of any kind against the Organisers or the venue owners in respect of any loss or damage consequential upon the prevention, postponement or abandonment of the Show by reason of the Exhibition Building becoming wholly or partially unavailable for the holding of the Exhibition for reasons beyond the Organisers’ control and the Organisers shall be entitled to retain such part of all sums paid by the Exhibitor as the Organisers consider necessary if, in the opinion of the Organisers re-arrangement or postponement of the period of the Exhibition, or by substitution of another hall or building or any other reasonable manner, the Exhibition can be carried through the contract for space shall be binding upon the parties except as to size and position of stands as to which any modification, substitution or re-arrangement they consider necessary shall be determined by the Organisers.
13. All helium gas cylinders must be removed from public areas by the commencement of the show and must not encroach on gang ways or the stand space of other exhibitors.
14. No liability shall be placed on the ORGANISERS, Best Brides, for any losses that are incurred by the exhibitors whilst they are planning for, or preparing for, or in conjunction with the wedding fair and exhibitors shall indemnify the ORGANISERS against any such actions, claims, proceeding, costs and expenses arising.
15. For their own peace of mind, exhibitors may want to ensure that they have adequate Public Liability Insurance for the event. Bookings are accepted from exhibitors on the understanding that adequate insurance is in place.
16. All additional tables requested after booking will incur a separate charge, please ensure you allow yourself enough space prior to the exhibition as there may not be additional tables available to reserve on the day of the exhibition.
17. Exhibitors must arrive no later that 30 minutes before the beginning of the exhibition. Exhibitors arriving after this time to set up their stand may not be allowed to do so if it is deemed to be a risk to the health and safety of the public. The decision by the organisers is final in this matter.
18. Please ensure that you communicate any special requests to the organisers in writing 48 hours prior to the event to allow your needs to be met. The organisers cannot guarantee that all requests will be met unless agreed prior to the exhibition in writing.
19. Breakdown of stands in any form is not permitted before the close of the exhibition unless written permission is sought and given in writing by the organisers, Best Brides.
20. Bridal Bag Inserts must be received 10 days prior to exhibition.
21. All details for show programme must be submitted 10 days prior to exhibition.
22. No more than 2 people can be on any stand unless prior written arrangements have been made with the organiser. Any additional persons may be asked to leave.
23. Any behaviour or conduct deemed to be inappropriate to the exhibition may result in the parties involved being removed from the premises. No refund will be given should these extreme circumstances occur.
24. Should a contra agreement (whereby an arrangement is made between the organisers and the exhibitor for an exchange of service for exhibition space) be reached and the exhibitor does NOT attend the exhibition and is therefore in breach of contract a penalty charge of the full cost of the space will made and payable within 7 days by the exhibitor.
